VjAI coaches

Coaches. Every person knows their one number and their next step.

An owner cannot sit with forty people every week, so most people are coached only when something goes wrong. VjAI coaches each person from their own real numbers, in the owner's voice, and checks every message against what the person actually did before it is sent.

I cannot sit down with forty people every week.

What it quietly costsNobody is coached until something goes wrong, and the owner's standards live only in the owner's head.

A personal coaching message, every Monday

About four minutes of audio for each person, in the owner's own voice, written only from that person's real numbers, with one thing to work on. Physios, front desk and directors each get coaching that fits their role.

At PhysioCare OttawaAbout 38 people coached every week.

Forty one-to-ones, every Monday, without you in the room.

I only hear about the bad call. And from staff: it told me to do what I already did.

What it quietly costsThe same booking is lost the same way every day. Coaching that is wrong once is ignored forever.

Every call scored, and coaching that never nags

Calls are transcribed, stripped of names and scored against the clinic's own script. Before any coaching is sent, one judge checks what the person actually did, whether the caller booked later, and how many messages they have had that week.

At PhysioCare OttawaThe judge found that 33 of 196 calls marked lost had in fact booked, so nobody was coached for a call they won.

Know what was said. Coach only what was missed.

We set goals in January and never look again.

What it quietly costsNo one can say whether they are winning.

One goal each, scored by the data

One goal per person per quarter, scored every night with no manual entry. A director has to commit to actions before the next coaching unlocks, and the next session grades them against the live number.

At PhysioCare Ottawa26 of 26 goals scoring daily across directors, practitioners and front-desk teams.

Everyone knows their number today.

Our weekly meeting is the same conversation every week.

What it quietly costsAn hour of every team's week, with nothing decided and nothing followed up.

Meetings that build their own agenda

Topics come from that clinic's numbers and open tasks. Unfinished topics carry forward. The meeting can be graded afterwards, and a director is nudged only when a clinic stalls.

At PhysioCare OttawaThe first run proposed 59 topics across 8 clinics.

Walk in knowing the three things that matter.

My team is overwhelmed by the numbers and does not know what to do with them.

What it quietly costsDashboards nobody opens.

“Learn this page”

A button on every page plays a short narrated clip for each section, and explains every number: what it means, what is good or bad, and what to do.

At PhysioCare Ottawa117 clips across 14 pages.

So clear a ten-year-old could run the page.

My physios do not know where they stand until the bonus is calculated.

What it quietly costsSurprise and resentment at month end.

Each practitioner's own page

Each practitioner sees only their own numbers, the gap to target, and the levers that close it, limited to equipment their clinic has.

At PhysioCare OttawaPersonal pages for all 27 active practitioners.

No surprises on bonus day.

Everything else under Coaches

12 more ways it coaches.

Weekly practitioner coaching

“Which one thing should this physio work on?”

Each practitioner's last 28 days are ranked across six levers. The top one becomes a short brief with three actions.

One lever, three actions.

Reception scorecards

“Who books well, and who needs training?”

Each receptionist gets a weekly scorecard, a top tip, and their own history to look back on.

Every receptionist knows their score.

Ask the coach

“Staff ask me the same questions.”

A coach on every staff page answers from company knowledge and live data, limited to that person's role. What it cannot answer goes to the owner once, and the answer becomes knowledge for everyone.

A fact taught by the owner was available to staff 11 seconds later.

Answer it once.

Coaching Hub

“Coaching is scattered across emails.”

One page for the operations manager and directors: the brief, the team, all coaching given with its audio, meetings and history.

All coaching, one page.

Voice coach

“I think out loud.”

The owner speaks a question and hears the answer, drawn from live numbers.

Answer time cut from about 58 seconds to about 10.

Talk to your numbers.

Academy

“Training is a folder nobody opens.”

Front-desk training as short videos, a read-along and a quiz for each lesson. Managers approve lessons and manage learners.

42 lessons and 352 quiz questions.

Onboarding without the owner.

Handbook chat

“Where is the form? What is the policy?”

Staff ask what to do and get the answer from company policies and guides, limited to what their role may see.

The policy, when they need it.

The company playbook

“Our way of doing things lives in my head.”

Your clinic's own policies, scripts and hard-won team know-how are captured in one playbook and kept current. Every coach draws on it, so advice sounds like your clinic, not a textbook.

Your way, written down.

My week

“I am overloaded, while the schedule shows gaps.”

Each Monday it works out open hours, pre-fills what the schedule shows was done, and asks only about the rest. Directors see team counts, never what an individual wrote.

A median of 7.8 open hours per practitioner per week.

Credit for the work nobody sees.

Practitioner to-do

“The form the physio owes is nobody's task.”

The front desk assigns a task to a practitioner, who marks it done or cannot do, with a note.

Paperwork with an owner.

Lunchroom board

“The team never sees the score.”

A screen in each clinic rotates progress to target, new patients, reviews, shout-outs and a daily message from the owner.

The score, on the wall.

Social content engine

“We never post.”

Each month every clinic gets its videos assigned with word-for-word scripts and captions, a board to tick off filming, and a hub for the editors.

40 videos assigned across 8 clinics in the first month.

Scripts written. Just press record.
